Add someone to the team

Put a stylist, a chair renter or the front desk on the diary, decide whether they get a login, and know what a login lets them see.

Everyone who takes appointments is on the team, whether they are employed, rent a chair, or are learning. Someone on the team can be in the diary without ever logging in — you run their day for them — or can have a login of their own. That choice is what you pay for: a seat is a login, not a chair.

  1. Add them

    Shop → Team → Add someone. Their name, a role such as Barber or Colourist, and how they work: Employed, Rents a chair, Apprentice or Office. Switch off Appears in the diary for office staff who never take appointments. With more than one outlet, say where they work.

  2. Decide about a login

    Under Account: No login — not charged means you manage their diary and they never sign in. Invite them — charged sends them a link to set a password, and the seat is charged from then. Anyone who can log in is a seat, including the front desk.

  3. Send the invitation

    On their page, under Invite to log in, type their email and send. The link works for two weeks; sending again replaces it. Once they have set a password they sign in on the web or in the app, and if they are locked out later they reset their own password from the sign-in screen.

  4. Set their hours and what they do

    A new person has no hours and does no services, so nothing can be booked with them yet. Set their days under Working hours, then on each service they do, tick them under Performed by — with their own price if it differs from the shop's.

What a login lets them see

Somebody on the team who is not an owner runs their own day: their diary, their bookings and clients, the waitlist, their own hours and blocked time, their own price for a service, their own calendar feed and their own takings.

Everything that is the shop's stays with the owner: who is on the team and who logs in, the menu and its prices, everyone else's hours, booking rules, the deposit and cancellation policy, reminders, offers, the shop's page and website, the client list as a whole, and where deposits are paid. A chair renter cannot reprice your menu or rewrite your cancellation terms.

Someone leaving

On their page, Remove from the team suspends them and frees the seat. Their appointments and your takings keep their name, so last year still adds up. If they come back, restoring them puts them on the team with the same login, and the seat is charged again from that day.
